2. Introduction
Voicicle ("we", "us", "our") provides a service that processes user-submitted voice inputs to produce AI-driven outputs. We are committed to protecting personal data in compliance with the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018.
This Privacy Policy explains what personal data we process, the purposes and legal bases for processing, how long we retain it, and the rights available to you.
3. Data We Process
3.1 Voice Inputs
When you use Voicicle, you may provide voice recordings as input to the service. These recordings are processed in real time solely for the purpose of generating outputs for you.
We do not store any voice recordings after processing is complete. Voice recordings are held only transiently in memory and are deleted automatically once your output has been generated.
3.2 Derived Data and Outputs
Based on your voice inputs, the service may generate text or other derived outputs. We retain such derived data only for as long as is necessary to deliver the requested functionality to you (for example, to display or return the output in the interface).
We do not use your outputs or other derived data for model training or any additional purposes unless you have explicitly consented.
3.3 Account, Contact and Usage Data
When you create an account or otherwise engage with the service, we may process:
- Name and contact details (such as your email address).
- Authentication credentials and account settings.
- Billing and subscription information (where applicable).
- Technical and usage data, including IP address, device and browser type, timestamps, interaction logs, and diagnostic information for security and performance monitoring.
4. Legal Bases for Processing
We process personal data on the following legal bases under UK GDPR:
- Contractual necessity: to provide, operate and support the Voicicle service and to fulfil our obligations under our contract with you.
- Legitimate interests: to maintain and improve the security, performance and reliability of the service, to prevent misuse, and to perform essential diagnostics and analytics.
- Consent: for any additional or optional processing activities (for example, where we propose to use data for model training or product improvement beyond what is strictly necessary to provide the service).
5. Data Retention
We retain personal data only for as long as necessary for the purposes described in this Privacy Policy or as required by law. In particular:
- Voice recordings: are not retained and are deleted immediately after processing.
- Account and contact data: are retained while your account remains active and for a reasonable period thereafter, or as required to comply with legal, regulatory or accounting obligations.
- Technical and usage logs: are kept for limited periods necessary for security, diagnostics and service maintenance.
6. Data Sharing
We do not sell your personal data or your voice recordings. We may share personal data with:
- Service providers: including hosting, IT, analytics and security providers that support the operation and maintenance of the Voicicle service.
- Payment processors: where necessary for subscription and billing activities.
- Regulators, law enforcement or other authorities: where we are legally required to do so or where this is necessary to protect our rights or the rights of others.
Where we engage third parties to process personal data on our behalf, they act as our processors and are subject to appropriate contractual and security obligations.
7. International Data Transfers
Where we transfer personal data outside the United Kingdom, we will ensure that appropriate safeguards are in place, such as the use of approved standard contractual clauses together with the UK Addendum, or other mechanisms compliant with UK GDPR.
8. Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, accidental loss, destruction or damage. These measures may include encryption in transit, secure deletion procedures and role-based access controls.
However, no online service can be guaranteed to be completely secure, and you should take care when transmitting information over the internet.
9. Third-Party Voices and Consent
Where audio contains the voices of third parties, users are responsible for ensuring that all necessary rights and consents have been obtained prior to submission, including consent for processing by Voicicle and its third-party service providers.
10. Your Rights
Under UK GDPR, you have a number of rights in relation to your personal data, subject to certain conditions and exemptions. These may include the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate or incomplete personal data.
- Request erasure of your personal data in certain circumstances.
- Object to or request restriction of the processing of your personal data.
- Request the transfer of your personal data to you or to a third party (data portability).
- Withdraw consent where processing is based on your consent, without affecting the lawfulness of processing prior to withdrawal.
To exercise any of these rights, please contact us at enquiries@kewconsulting.co.uk. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) or another supervisory authority.
11. Changes to This Privacy Policy
